$2,500 CRM Build-Out: A Real-Life Project Breakdown with Make.com Automations

See How a Real Make.com Consultant Builds a CRM for a Photography Client

Curious about what goes into a $2,500 CRM project? Let’s dive into the nitty-gritty of a real client build using Make.com automations.

Introduction

Hey everyone! In this post, I’ll take you through a CRM build-out for a client using Make.com automations, all for a cool $2,500. This is on the cheaper end of my projects, but I wanted to show you what a typical build in this price range looks like. 🛠️

Breaking Down the Project

Step 1: Conceptualizing with Mind Mapping

The first step in any project is understanding the client's needs. For this, I use a mind mapping software called Whimsical. It's visually appealing and incredibly functional. Here’s a quick overview of the flow:

  1. Lead Capture: We use Typeform to capture leads.

  2. Lead Management: All leads are funneled into ClickUp, a robust project management tool.

  3. Client Confirmation: Before moving forward, we confirm details with the client.

Step 2: Building the MVP

After confirming the flowchart with the client, we dive into building the MVP (Minimum Viable Product). This involves creating basic functionalities and ensuring everything runs smoothly before adding more complex features.

Step 3: Finalizing and Maintaining

Once the MVP is approved, we make minor tweaks and adjustments based on client feedback. We also offer a month of ongoing maintenance to ensure everything works perfectly and the client feels confident using their new CRM.

Inside the Whimsical Flowchart

For this project, our client is a successful freelance photographer who wants to scale their business using a CRM. Here’s a look at the key components:

  • Lead Generation: Leads are added via Typeform, whether manually or automatically from Facebook ads.

  • Lead Management: Once a lead is added, we check for duplicates in ClickUp. If it’s a new lead, we create a record and set the status to “Meeting Booked.”

  • Automation Flows: We set up different flows for event shoots and content strategy packages, ensuring each lead is processed correctly.

Example Client Flow

  1. Lead Enters System: Automatically from Facebook ads or manually via Typeform.

  2. Initial Contact: A meeting is scheduled using Calendly, and details are captured.

  3. Proposal Stage: Based on the meeting, a proposal is sent.

  4. Project Management: Upon acceptance, the project is managed in ClickUp, with all details organized and tracked.

Tools and Technologies Used

  • Whimsical: For mind mapping and process visualization.

  • Typeform: For capturing lead information.

  • ClickUp: For CRM and project management.

  • Calendly: For scheduling meetings.

  • Make.com: For automating the entire workflow.

Conclusion and Client Handoff

By the end of this build, we’ve created a fully functional CRM tailored to the client’s specific needs. I always encourage my clients to test the system thoroughly and provide feedback for any minor adjustments. 📝
